A Task Card Sat for Three Days Without Movement

Last week I found a task card sitting for three days still in Todo. It was a translation task—not hard, but nobody picked it up. The problem wasn’t lack of bandwidth. It was nobody knowing who should do it.

My biggest takeaway from leading AI teams isn’t “how smart AI is”—it’s “assigning and tracking is way more exhausting than executing.” Who owns what, where’s it at, who’s stuck—these eat up at least an hour of my day checking in. There are 21 pre-built AI Teammates right now, like Campaign Brief Writer, Launch Planner, Compliance Specialist. Sounds fancy, but what they actually do is pretty concrete—auto-assign tasks based on rules, check if deadlines are set, update statuses. Asana’s own beta data: teams using AI Teammates completed work 2x faster, tasks were 3.2x more likely to have a clear owner, and deadlines were 2.6x more likely to be set.

That 3.2x number hits home. My experience is, if you don’t assign an owner the moment a task is created, there’s an 80% chance it drifts. It’s not people being lazy—it’s genuinely unclear who should pick it up. What AI Teammates does is solve the “who’s doing this?” question the instant the task is created.

But honestly, the fact that 93% of users gave AI full edit permissions surprised me a bit. My own team principle: whatever AI executes needs a human pass-through. Trust can be given, but verification can’t be skipped.

AI Studio + Slack Integration: What You Save Isn’t Time, It’s the Back-and-Forth

Another feature I find interesting is AI Studio’s Slack Q&A integration. Simple version: someone asks a question in Slack, AI searches internal docs first, finds an answer and replies directly, and only escalates to a human if it can’t find anything.

My own approach was building an automated Q&A system, but honestly, that system took a lot of time to piece together. If a ready-made tool can get you 70-80% of the way there, that’s plenty for most teams.

Smart Status Is Handy, But Don’t Take It as Truth

Asana’s Smart Status scans project progress and auto-generates status updates—which tasks are on track, which might delay, whether there are blockers. Morningstar’s case: complex research analysis that originally took one to two weeks got a first draft done in a few hours with AI help. These numbers look great. But here’s the realistic part—you can’t take AI-generated status reports as fact.

My team has one iron rule: whatever the Agent reports as PASS, I always spot-check. It’s not distrust—AI is really good at wrapping “mostly done” as “all done.” Same logic with Asana’s Smart Status—it’s a great starting point, but you need to judge for yourself whether that “83% complete” is really 83%, or if the last 17% takes as much time as the first 83%.

Price and Limits: Not Cheap, and There’s a Learning Curve

Asana AI features are fully available on the Advanced plan and above, at $24.99 per user/month (billed annually). For a 10-person team, Asana alone runs $250 a month—that’s not chump change. Starter at $10.99 has basic AI Studio, but the full AI Teammates are a step up.

Another reality is the learning curve. Asana has a lot of features— newcomers need time to ramp up. And if you set AI automation rules poorly, a small change can trigger a cascade of unexpected actions. This isn’t an Asana-specific problem— all automation tools are the same. Some of the time you save gets spent maintaining the rules.

Tool Is a Tool, Management Is Still Your Call

After using it for a while, my conclusion is pretty simple.

Asana’s AI features definitely help with “cutting out mindless repetitive work”—auto-assignment, status generation, Slack Q&A filtering, these really do save time. But they won’t make decisions for you. Should we take this case, what’s the priority order for this task, how’s the team member doing—these are still on you.

The biggest value of AI project management tools isn’t avoiding management—it’s freeing up your time for decisions that actually need your judgment.

And the time you save? You’ll probably just spend it opening more task cards (lol).
